School fees, receipts and balances, without the three receipt books
Half a term in, somebody asks how much is still owed. Here the answer is on the page the moment you open it: billed, collected and outstanding for the term, then class by class with the lowest collection first.
What the bursar and the head get
- Term billsBill each class for the term. Discounts, such as for a second child or a staff ward, are the head's decision and show on the bill as their own line with a reason.
- Numbered receiptsEvery payment gets a receipt number from the system, and amounts are kept to the pesewa.
- Collection by classSee which class is behind before the PTA meeting, not after it.
- Statements for familiesEach parent sees their own child's bill, payments and balance on their phone.
Money records that cannot quietly change
A payment cannot be edited or deleted away. If one was recorded wrongly, it is reversed, and a reversal needs the head and a reason. The original payment, the reversal and who did each stay on record, so the books at the end of term match the receipts that were issued.
If a bill is reduced after it was paid, the extra becomes a credit shown on the child's later bills.
Cash, mobile money and bank payments
The office records each payment as it is received, whether it came in cash, by mobile money or through the bank. Paying school fees online inside the app is not available yet.
Common questions
Can parents see what they owe?
Yes. A parent signed in on their phone sees each child's bill, the payments recorded and the balance.
Can parents pay fees online through the app?
Not yet. The office records cash, mobile money and bank payments as they come in, and each one gets a numbered receipt.
What happens if a payment was recorded by mistake?
It is reversed rather than deleted. The head approves the reversal with a reason, and both entries stay in the history.
